The Problem with Paper Sign In Sheets

You spent $500 marketing that open home. Thirty five people walked through. You greeted them, answered questions, handed out flyers. And at the end of the day, you're left staring at a crumpled sheet of paper with 15 illegible entries, three obviously fake email addresses, and no idea who was actually serious about buying.

Between 30% and 50% of contacts captured on paper sign in sheets are unusable. Illegible handwriting, missing phone numbers, joke emails. The leads you can read still need to be manually typed into your CRM, one by one. That usually happens the next morning. Sometimes the day after. By then, those visitors have already Googled four other agents.

Follow up speed matters more in real estate than almost any other industry. Reaching out within the first hour can increase your conversion rate by three to five times compared to waiting a full day. But when your "system" is a clipboard and a pen, same day follow up is the exception, not the norm.

And there's the privacy issue nobody talks about. Every visitor who signs in on paper can see the name, phone number, and email of every person who signed before them. That's not a great first impression.

How It Works

The automation connects a digital sign in form to your CRM and follow up sequences. Visitors sign in on a tablet at the open home, and everything after that happens without you lifting a finger.

1. Visitor signs in on the tablet

You set up a tablet at the entrance running a digital sign in app such as Curb Hero, Spacio, or a custom Typeform. Visitors enter their name, email, phone number, and answer two or three qualification questions: "Are you preapproved?", "Are you working with an agent?", "What's your timeline to buy?" Email and phone validation blocks fake entries before they hit submit.

2. Contact created or updated in your CRM

On submission, your automation platform (such as Make or Zapier) fires immediately. It searches your CRM for an existing contact with that email or phone number. If one exists, it updates the record. If not, it creates a new one. Either way, no duplicate entries, no manual data entry.

3. Tags and context applied automatically

The contact gets tagged with the open home address, the date, and the source ("Open Home"). Their qualification answers are stored as custom fields or notes. A visitor who said they're preapproved and looking to buy within 60 days looks very different in your CRM than someone who's "just browsing."

4. Property specific drip sequence starts

Based on their qualification level, the visitor is added to an automated email sequence. Hot leads get a personal follow up email within minutes, including the listing details, your contact information, and similar properties in the area. Cooler leads enter a longer nurture sequence with neighbourhood data, market updates, and new listings.

5. Listing agent gets a live summary

At the end of the open home (or in real time, if you prefer), the listing agent receives a notification via Slack, SMS, or email. It includes the total attendee count, each visitor's qualification answers, and a breakdown of buyer intent signals. That summary doubles as your seller report.

Why "Just Use an App" Isn't Enough

Most agents who go digital stop at step one. They download Curb Hero or Spacio, set up a tablet, and collect digital entries instead of paper ones. That's better. But it's not automated.

The sign in app captures the data. What happens next? In most cases, the agent exports a CSV after the open home, imports it into their CRM, manually creates tags, and then starts writing follow up emails. The digital form replaced the paper, but the manual work just shifted downstream.

An agent in Melbourne described hosting back to back open homes on a Saturday, collecting 60 digital sign ins across three properties, then spending her entire Sunday evening copying contacts into her CRM and writing individual follow up emails. She had the data. She just didn't have the pipeline.

The gap between "captured" and "followed up" is where deals die. Digital sign in tools solve the capture problem. Automation solves the follow up problem. You need both.

What Changes When Every Visitor Hits Your Pipeline Instantly

The qualification questions are the part most agents overlook. A paper sheet captures a name. A digital form with the right questions captures intent.

When someone tells you they're preapproved and looking to buy within 30 days, that's a different conversation than someone who wandered in from the street. Your CRM knows the difference before you've even locked the front door. Your follow up email references what they told you. Your drip sequence sends them listings that match their criteria.

Open house apps report a 40% to 60% increase in captured, reachable leads compared to paper. But the bigger number is this: agents using automated follow up from open homes see twice the conversion rate of those doing it manually. Not because the automation is magic. Because it's fast, consistent, and personalised. Every single time.

The seller report is an underrated bonus. Instead of telling your vendor "we had good traffic," you hand them a document showing 28 visitors, 12 preapproved buyers, and 6 who indicated they want to make an offer within the month. That's the kind of reporting that wins listing presentations for your next property.

The Business Impact

Take an agent doing three open homes per week, averaging 20 visitors each. That's 60 contacts weekly. On paper, you're losing 30% to 50% of those to bad data. Call it 20 lost contacts per week.

The average open home visitor converts at 2% to 3%. With 20 lost contacts per week, that's roughly one lost deal every two to three weeks. At $8,000 to $12,000 in commission per transaction, you're leaving $4,000 to $6,000 per month on the table. Just from unreadable handwriting and slow follow up.

A digital sign in tool costs between $0 (Curb Hero is free) and $25 per month (Spacio). The automation layer through Make or Zapier runs $10 to $20 per month. Total investment: under $50 per month. One single closed deal from an open home lead covers more than four years of that cost.

  • Every open home visitor captured with validated contact details and buyer intent data
  • Follow up emails sent within minutes of sign in, not days
  • Hot leads identified and prioritised automatically based on qualification answers
  • Seller reports generated instantly with attendee counts and buyer signals
  • Zero manual data entry from open home to CRM
  • Full visibility into open home ROI across all your listings

Frequently Asked Questions

What if visitors refuse to sign in on a tablet?

Digital sign in rates are actually higher than paper. Visitors perceive tablets as professional and expected. Running the app in kiosk mode makes it a natural part of entering the property. Agents who've switched report fewer walkouts at the sign in station, not more.

Does this work with my existing CRM?

Yes. The automation layer (Make or Zapier) connects to virtually any CRM used in real estate, including AgentBox, Rex, Rex, and others. If your CRM has an API or a Zapier integration (most do), it works. Custom fields, tags, and drip sequences all carry over.

What about Wi Fi reliability at open homes?

Several sign in apps, including Curb Hero and Open Home Pro, work offline. They store entries locally on the tablet and sync to your CRM once a connection is restored. You won't lose a single lead if the Wi Fi drops out mid open home.

Is automated SMS follow up legal?

You need explicit consent before sending automated text messages. The digital sign in form should include a clear opt in checkbox for SMS communications. Most open home sign in apps have this built in already. Always check your local regulations around electronic marketing consent.

Can I customise the qualification questions for different types of open homes?

Absolutely. A luxury listing might ask about financing and timeline. A first home buyer open home might ask about preapproval status and suburb preferences. You can create different form templates for different property types and swap them in seconds before each event.

Do I really need automation if I only do one or two open homes a month?

Even at low volume, the speed advantage matters. A lead followed up within the hour converts at three to five times the rate of one contacted the next day. And the setup is a one time effort. Once it's running, it works whether you do one open home a month or ten.

How long does this take to set up?

A basic version (digital form to CRM with tags and a welcome email) can be running in under two hours. A full pipeline with qualification scoring, segmented drip sequences, and seller reports takes a day or two of configuration.
