The Problem

Half of all B2B invoices in the US are currently overdue. Not a month from now. Right now. And 8% of those get written off entirely as bad debt.

For small and mid sized businesses, the pain is worse. 73% of small businesses faced late payments in the first quarter of 2025 alone. The average small business is owed more than $17,000 in late payments at any given time. That's not theoretical revenue. It's work you've already done, sitting in someone else's bank account.

So what do most businesses do about it? They chase manually. 65% of businesses spend roughly 14 hours per week on it. That's almost two full working days lost to opening spreadsheets, cross referencing overdue invoices, composing individual reminder emails, and deciding who gets a follow up today. 4. Draft personalised follow up emails

The agent uses AI to write each email. A loyal client who's 7 days late for the first time gets warmth and understanding. A repeat offender at 30 days gets directness and a reference to your payment terms. Each message includes the specific invoice number, amount outstanding, and a payment link. They read like something you'd write yourself, because the AI matches your tone.

5. Send and log

Emails go out from your business email address (not a generic noreply). Every send is logged with the date, recipient, invoice reference, and escalation tier. If a payment comes in before the next scheduled reminder, the agent detects the status change and stops the sequence for that invoice.

6. Escalate to your team when needed

If an invoice hits 45 days overdue (or whatever threshold you set), the agent stops emailing and alerts your account manager via Slack. The alert includes context: total outstanding from that client, their payment history, and a recommended next step. From here, a human takes over.
