The Problem

You just sat through a 45 minute client meeting. Four decisions were made. Seven action items were assigned. And now someone needs to spend another 25 minutes typing up notes, copying tasks into Asana, and posting a summary to Slack. By the time that recap email goes out, half the details are already wrong.

This isn't a minor annoyance. It's a structural problem. Professionals attend 11 to 15 meetings per week. At 25 minutes of post meeting admin each, that's four to six hours a week spent writing up things that were already said out loud. Executives spend an average of 47 minutes every morning just gathering information scattered across six to ten different tools. Meetings are the biggest single source of that scattered information.

Most action items from meetings are never formally tracked. They live in someone's notebook, in a half remembered comment from the call, or in an email that three people didn't read. So the same discussions happen again next week. Deadlines get missed. Clients notice.

Some teams try to fix this with a dedicated note taker. But that person is now half listening and half typing, which means they're contributing less to the actual conversation. Others rely on transcription tools like Otter or Fireflies, which solve the recording problem but still leave you with a wall of text that someone has to read, interpret, and act on.

How It Works

The agent connects your meeting platform to your task management and communication tools. When a meeting ends, it does everything your best operations person would do, in about ten seconds.

1. Meeting ends, transcript arrives

When your Zoom or Google Meet call finishes, the recording is sent to a transcription service such as Fireflies.ai or the platform's built in transcription. The raw transcript, complete with speaker labels and timestamps, lands in your automation platform (such as n8n or Zapier) via webhook within minutes of the call ending.

2. AI extracts structure from conversation

The transcript gets passed to an AI model that's been prompted to identify specific elements: key decisions made, action items with assignees and deadlines, open questions that need follow up, and a short summary of what was discussed. This isn't keyword matching. The AI understands that "let's aim to have the mockups ready by next Thursday" means the design team has a deliverable due in seven days.

3. Tasks created with assignees and deadlines

Each action item becomes a real task in your project management tool. Asana, Notion, Monday.com, ClickUp. The task includes the assignee's name, a suggested deadline, and the context from the meeting (the exact words that triggered the action item). No manual data entry. No copying and pasting from a Google Doc.

4. Structured summary posted to Slack

A formatted summary drops into the relevant Slack channel. It includes the decisions made (with exact quotes where useful), the action items and who owns them, and any open questions flagged for follow up. Everyone who needs to know gets the information within minutes, not hours.

5. Meeting record archived

The full transcript, summary, and task links are stored in a shared location such as Google Drive or Notion. Six months from now, when someone asks "what did we decide about the rebrand?", you can search for it and get the answer in seconds. With the exact quote from the meeting attached.

Why Transcription Alone Doesn't Solve This

Tools like Otter.ai and Zoom's built in AI Companion are good at turning speech into text. That's the easy part. The hard part is turning text into action.

A 45 minute meeting produces roughly 7,000 words of transcript. Nobody is reading that. What you need is the eight sentences that actually matter: the three decisions, the four tasks, and the one question that still needs answering. Pulling those out of a raw transcript takes the same 20 minutes you were already spending on manual notes.

The project manager finishes a client call. By the time they walk back to their desk, Slack has a structured summary: three key decisions with exact quotes, five action items each with an assignee and deadline, and two open questions for follow up. All five tasks are already in Asana. They review, make one edit, and move on. Total post meeting time: two minutes.

That's the gap between transcription and automation. One gives you a record. The other gives you a system where nothing falls through the cracks because every commitment made in a meeting becomes a tracked task before anyone leaves the room.

What This Looks Like Across Industries

The core workflow is the same everywhere, but the details shift depending on who's in the meeting and what's at stake.

Accounting and financial services

Client advisory meetings generate tax planning decisions, document requests, and compliance deadlines. When a partner says "we need the updated financials by the 15th", that becomes an Asana task assigned to the relevant team member with a due date attached. No more chasing it up two weeks later when the client calls asking where things stand.

Matter discussions involve dozens of moving parts. Witness follow ups, filing deadlines, document reviews. The agent captures each one with its context, so six months into a case you can trace exactly when a decision was made and what was said. That's not just productivity. It's a record that matters when disputes arise.

Construction and real estate

Site meetings happen fast and generate long lists of actions across multiple subcontractors. The agent assigns tasks to the right people and tracks them. When the plumber says "we can't start until the electrician finishes the rough in", that dependency gets captured and the project manager doesn't have to hold it all in their head.

Medical practices

Administrative meetings about scheduling, staffing, and compliance create action items that affect patient care. Getting those tasks formally tracked and assigned, instead of lost in someone's notebook, means fewer dropped balls in an environment where dropped balls have real consequences.

The Business Impact

Take a professional services firm with ten people who each attend eight meetings a week. At 25 minutes of post meeting admin per meeting, that's 33 hours of note taking, task creation, and summary writing across the team every week. Over a year, that's 1,700 hours.

If even half those hours are billable at $150 per hour, you're looking at $127,500 in recovered capacity. And that's before you count the meetings that happen twice because nobody remembers what was decided the first time, or the client deliverables that slip because an action item lived in someone's head instead of a task board.

The automation costs roughly $50 to $100 per month for transcription and workflow tools. Call it $1,200 a year. Against $127,500 in recovered time, the maths isn't close.

But the bigger number is harder to measure. How many client relationships have been damaged by a missed follow up? How many internal projects stalled because nobody tracked the next step? The agent doesn't just save time. It closes the gap between what gets said in meetings and what actually gets done.

  • 20 to 30 minutes of post meeting admin eliminated per meeting
  • Action items tracked with assignees and deadlines from the moment they're spoken
  • Structured meeting summaries delivered to Slack within minutes, not hours
  • Searchable archive of every decision and commitment across all meetings
  • 33 hours per week of admin recovered for a ten person team
  • Full audit trail linking decisions to the exact words spoken in the meeting

Frequently Asked Questions

Will clients or meeting participants be uncomfortable with recording?

Most video conferencing platforms now show a clear recording indicator, and clients increasingly expect it. If recording is a concern, tools like Krisp work without a visible bot joining the call. You can also use Zoom's native AI Companion, which is already included in paid Zoom plans and doesn't add an extra participant to the meeting.

What about sensitive or confidential discussions?

For firms handling privileged or regulated information, self hosted transcription using OpenAI's Whisper model keeps all data on your own servers. Enterprise plans from tools like Fireflies include SOC 2 compliance and configurable data retention policies. You control what gets stored and for how long.

How accurate is the AI at extracting action items?

With proper prompting, large language models achieve 85 to 90 percent accuracy on action item extraction from meeting transcripts. Transcription accuracy for English sits above 95 percent. The agent presents its extractions for quick review, so you're checking a short list of tasks rather than writing them from scratch. One minute of review replaces 25 minutes of manual work.

Our meetings are chaotic and unstructured. Will this still work?

AI is actually better with unstructured meetings than humans are. It doesn't lose track during tangents or forget something said in the first five minutes. It captures everything, then structures it after the fact. The messier your meetings, the more value you get from the agent.

Do we really need this if we already use a transcription tool?

Transcription gives you a 7,000 word document that nobody reads. This agent gives you five tasks in Asana, a summary in Slack, and a searchable archive. The difference is between having a record and having a system that turns talk into action. If your team is already extracting action items manually from transcripts, you're spending the same time you would without the transcription tool.

Which meeting platforms does this work with?

Zoom, Google Meet, and Microsoft Teams all support recording and transcription triggers. The automation layer (n8n or Zapier) connects to whichever platform you use via webhooks or native integrations. Task creation works with Asana, Notion, Monday.com, ClickUp, Jira, and most other project management tools with an API.

How long does setup take?

A basic version connecting your meeting platform to Slack and one task management tool takes a few days to configure and test. More complex setups with custom AI prompts, multiple output channels, and CRM integration take one to two weeks. We scope the exact workflow during the initial conversation. Book your free audit
