The Five Minute Window You Keep Missing

1. Form submission triggers the workflow

When a prospect submits your contact form (built with tools such as Typeform, Gravity Forms, Jotform, or your website's native form builder), the automation fires instantly. The form data, including name, email, phone number, and enquiry details, passes into the workflow.

2. AI reads the enquiry and drafts a personalised reply

Instead of sending a cookie cutter "we received your message" email, an AI step reads what the prospect actually asked about. If they enquired about kitchen renovations, the reply references kitchen renovations. If they asked about commercial leasing, it says commercial leasing. 3. Email and SMS go out simultaneously

4. Lead is created in your CRM

A new contact record appears in your CRM (such as HubSpot, Pipedrive, or whatever you use) with all the form fields mapped. No manual data entry. The record includes the enquiry details, the source, and a timestamp. If the contact already exists, the record gets updated instead of duplicated.

5. Your team gets a Slack or email alert

An internal notification hits your chosen channel with the prospect's details and enquiry summary. Hot leads (based on enquiry type or other criteria) can be flagged for priority follow up. Your team knows exactly who to call back first.

Why Generic Confirmation Pages Fail

Most businesses think they've solved this problem because their form shows a "Thank you" message after submission. They haven't solved anything.

A confirmation page is passive. The prospect sees it for three seconds and moves on. There's nothing in their inbox. Nothing on their phone. Nothing that reminds them you exist when they're comparing you to two other businesses an hour later.
